PuL Project
What is the PuL Project?
The project " Reorganization of Processes Surrounding Exam and Course Management including the Introduction of an Integrated Software Solution", PuL for short, aims for an improvement in the concerned processes including the introduction of corresponding IT support. In order to take the entire student life cycle into account, the PuL project will be expanded to include the areas application, admission, and student and fee management.
Initial Situation
The area teaching and learning at RWTH Aachen has experienced an explosion in complexity, that developed as a result of the Bologna reform, various dates and deadlines, insufficient transparency in processes, and non-compatible IT systems. RWTH Aachen needs to face this complexity.
With this in mind, RWTH Aachen has successfully completed numerous buiding blocks on exam and course management in the past few years, including the CAMPUS information system, the Virtual Central Examination Office, Modul-IT, and the e-learning portal L²P. However these building blocks are not sufficient for the complexity of the entire area. Since it is also not useful to work with two different IT systems in the faculties and administration, an IT solution is sought after, that can meet all the demands in the exam and course area.
Improved Service for Students through
-
Simplification of processes and known contact persons
-
Expansion of self-services in the student web portal
-
Improved overview of academic performance and workload
-
Installation of early warning systems in the event of insufficient academic performance
-
Improvement of information about planning studies and exam cancellation and registration
-
Reduction in paper forms and visits to different offices
Students' demands regarding online processes and customer friendliness have greatly increased in the past years, to the extent that we must appropriately respond to these demands.
RWTH Aachen's point of departure is different from many other universities, since many processes in the areas of course planning and classroom, course of study, registration and cancellation management have been supported by a software solution. Students also already have more self-service functions available to them online.
Resource Conservation for Employees through
-
Clear work flows and assigned responsibilities
-
Merging of different software systems into one system
-
Removal of redundant data collection and archiving
-
Reduction of individual written transactions
-
Simplification of exam and course planning
-
Creation of transparent organizational structures
Future-Oriented Solutions
The goal of the project is to establish an optimized and harmonized process for exam and course management within RWTH Aachen Central University Administration and the faculties. These processes should be supported with IT where necessary. Many processes at RWTH Aachen have had software support for many years.
The faculties and administration are currently using different IT systems. RWTH Aachen is striving for an integrated IT solution, that will be sufficient for all the demands of the exam and course planning area. Introduction and implementation of this IT support is part of the project. Outdated software will thus be substituted with new software.
Interim solutions are being worked on for the transition period before new software is implemented.
Project Structure and Individuals Involved
All the faculties, students and involved administrative divisions, and the Computing and Communication Center are included in discussions in the PuL project, in order to actively contribute to the reorganization of individual necessary processes and to the development of suitable software. The PuL project is situated within and coordinated by the Academic Affairs and Registrar's Office.
The PuL project consists of a PuL team, made up of project management and specialized project staff, and from three topic-related sub-projects. The sb-projects include course of study modelling, STM for short, semester planning, SEP for short, and participant and academic performance management, TLM. Project management is broken down into steering, project, and sub-project groups.
Collaboration and know-how from all those involved is extremely valuable. Their involvement enables processes to be optimized, standardizations to be implemented, and sensible support through suitable softare to be attained.
